Minutes of the Annual General Meeting Meeting 23 Jan 2006

Minutes

Were sent via email to members in advance of the meeting and were approved.

Matters Arising for the minutes

Paul promised to excavate the next layer of his garage to try to find the boot scraper he intends to donate to the club!!!!

Officers Reports

Chairman (Alan Kyte ) formally announced his resignation as chairman due to health problems, work and family commitments. He still intends to come to the club on an occasional basis, sometimes to shoot, and sometimes to lend a helping hand. The cards and letters received in hospital were much appreciated, and he wished the club all the best for the future.

Treasurer ( David Bell ) stated that the membership is slightly down on last year, but the financial state is still holding its own, due to funds from the two Have a Go events, the Beginners’ course and a few new members. These sources of income are necessary to maintain stability, so we need to continue our efforts in these areas, but we should favour Seniors / families in our membership, to maintain a manageable ratio of Juniors / Seniors.


The purchase of new bosses last year was opportune, and will lighten the financial load for the coming year. Fees to the college have risen again this year,but by a manageable amount

Secretary ( Jean Blood ) stated that so far 10 people have expressed an interest in the Beginners’ course. Interested parties have been told to contact us again in February, when we should have all the details to put on the application form.

Dates for the Have a Go days have been confirmed;

  • Calke Abbey – Sat,Sun,Mon April 29, 30, May 1st.
  • Ashby Show – Sun. July 16th.

Equipment Officer ( Alan Blood ) commented that there has been a significant decrease in breakages, losses and damage. This has been put down to several reasons ;

  1. People purchasing their own equipment
  2. Members taking on board some general maintenance tasks ( arrow repairs, gardening around the shed, etc. )
  3. Maintenance Day.

Junior Representative ( Phill Harris ) commented on a greater bond between the Juniors and Seniors recently, due to a mutual respect for each others’ skill and dedication to the sport. There will be a change to the Junior shooting award scheme this year ~ it is felt that the ”Arrow Award Scheme for Juniors” ( GNAS ) is more appropriate, as it encompasses recognised rounds ( and will ultimately contribute to handicap scores. )

Child Protection Officer (Phill Harris ) fortunately there is nothing to report.

Records Officer (Mick Edwards ) Favourable comments about attendance for the postal competitions.
Aileen and Mick successfully made it to the county squad. Ivanhoe had several individual successes, as well as winning the team trophy for the Hinckley open, and the Countesthorpe Triple.

Our Juniors are doing well in the postal league ( Leicestershire & Rutland 300 ) with everyone getting respectable scores, and Aimee Lord and Alex Morrell currently holding third place in their respective classes.

County Representative ( Mick Edwards) No report.

Webmaster / Public Relations Officer ( Paul Morrell ) The site has been updated, and is now linked to both GNAS and Sports Focus. Photographs and written information welcome from club members.
Information relating to the committee will shortly be updated to reflect the changes in the committee this year.

Beginners Course

It was generally agreed that Phill’s suggestion of holding the course on two Sunday mornings instead of six evenings was a good idea. The advantages were agreed as;

  1. daylight hours not a problem
  2. more members likely to be on the field to help out
  3. less setting up
  4. more concentrated, so beginners should get more out of it
  5. Aileen needs to be involved with the course, as part of her training as a level 1 coach, and is unable to fit this into evening sessions over a six week period.

Maximum number on the course to be set at 15.

Course 1 – Sun.April 9th, 9.30am – 12.30 pm
Course 2 – date to be confirmed after Dave has checked dates of the tournaments around that time.

Cost - £25.00 complete.

Jean to update last year’s application form as soon as dates are confirmed, and then these can be sent via email to the ten people already on the list.

Indoor Champs

Sat. 25th Feb 2006, 9am – 1pm.
Round – Portsmouth
Dave to check if we need to purchase any more medals.Members Update
Dave unable to do this until GNAS have sent him details.

Tuning / Bow maintenance Days

To be discussed at a later date. Paul to put together a short Powerpoint presentation.

Social Evening

Rather than an evening out, a clout shoot or other novelty shoot / BBQ in the summer was favoured. Details TBA.

 

A.O.B.

  1. The charge at Have-a-Go events will remain at £1 for six arrows.
  2. The Oracle – Paul to create this electronically. A “For Sale” page was suggested, although this needs to have a time limit of two weeks, to keep up to date.
  3. Chris wants us to look carefully at club clothing to improve the team identity at competitions. John knows someone who specialises in embroidered logos, at a charge of around £60 for the initial set up. All we have to do is to decide what we want.
  4. The Club Member of the Year award will not be continued, as the trophy has been lost, and it was agreed that it is not appropriate to replace it.
  5. Neil expressed concerns that we do not have formal “Improvers” sessions. It was pointed out that informal help is given as and when necessary, but this is not so easy to do indoors, as the space is so limited.
  6. Following the Beginners course, a rota is drawn up (usually Tuesday evenings ) for experienced archers to be on hand to continue the tuition up to a sensible level, after which the beginners are allowed to practise individually at their own pace.
  7. Chris to find out how much it would cost for Chris Gascoigne to come to the club and give a group coaching session, and what it would entail.
